SRBData LLC (“SRBData,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect information in connection with srbdata.com, our business operations, communications with SRBData, and certain SRBData-powered services.
SRBData may process information in different roles depending on the circumstances.
When you visit srbdata.com, communicate directly with SRBData, request information about our services, or become an SRBData client, SRBData generally determines the purposes for which that information is processed.
When you interact with an artificial intelligence (“AI”) telephone, messaging, website, or other communications system that SRBData operates on behalf of a business client, SRBData generally processes information to provide services for that client. In those circumstances, the applicable business client controls the primary relationship with you, and that client’s privacy policy, terms, and interaction notices may also apply.
1. Information We Collect
Depending on how you interact with SRBData or an applicable SRBData-powered service, we may collect:
Contact and Business Information
This may include:
name;
business name;
job title;
email address;
telephone number;
mailing or business address;
information submitted through forms;
service inquiries; and
other information you voluntarily provide.
Communications and Conversational Information
Depending on the service and its configuration, this may include:
telephone communications;
transcripts;
website voice interactions;
chat messages;
SMS or MMS messages;
email communications;
AI-generated summaries;
appointment or service requests;
communications metadata; and
other information supplied during an interaction.
Certain communications may be recorded, transcribed, logged, summarized, or analyzed as described in Section 6.
Client and Service Information
For SRBData business clients, we may process information concerning:
account configuration;
business operations;
services and products;
customer-service procedures;
knowledge-base content;
scheduling information;
workflow rules;
communications preferences;
integrations; and
information necessary to configure, operate, maintain, support, or improve the client’s particular implementation.
Inferences
AI-powered systems may generate limited inferences from an interaction, such as the apparent subject of an inquiry, requested service, routing category, service interest, appointment intent, or lead status.
Transaction Information
If you purchase services from SRBData, we may process billing, transaction, and payment-related information. Payment information may also be processed by payment service providers involved in completing a transaction.
Technical and Usage Information
We may collect information such as:
IP address;
browser and device information;
operating system;
referring pages;
pages viewed;
date and time of visits;
interactions with website features; and
diagnostic and security information.
AI Interaction Information
When you interact with an SRBData AI assistant or another AI-powered feature, we may process the information you provide, the system’s responses, relevant knowledge-base information, and associated technical or operational data.
2. Sources of Information
We may obtain information:
directly from you;
automatically when you use our website or services;
from SRBData business clients;
from service providers and technology providers;
from integrations authorized by a client;
from publicly available sources; and
from other sources where permitted by law.
3. How We Use Information
A. SRBData’s Own Business Purposes
When SRBData processes information for its own business purposes, we may use it to:
operate and improve srbdata.com;
respond to inquiries;
demonstrate and explain SRBData services;
operate the SRBData AI assistant;
communicate with prospective and existing clients;
provide proposals, onboarding, support, and account administration;
provide and support contracted services;
process transactions and billing;
maintain security and prevent misuse;
troubleshoot technical problems;
maintain business records;
comply with legal obligations; and
establish, exercise, or defend legal rights.
B. Processing on Behalf of Business Clients
When SRBData operates services on behalf of a business client, we may process information as necessary to:
operate AI-powered telephone, website, chat, messaging, or other communications systems;
respond to inquiries using client-approved information;
capture, organize, and route inquiries;
process appointment or service requests;
provide confirmations or follow-up communications;
support customer-service workflows;
operate integrations authorized by the client;
configure, troubleshoot, maintain, evaluate, and improve that client’s particular implementation; and
carry out other documented or authorized client instructions.
The applicable business client determines how it uses information it receives through its SRBData-powered systems, subject to its own legal obligations and agreements with SRBData.
4. Artificial Intelligence Processing and Model Development
SRBData uses AI and related technologies to provide certain services.
SRBData does not use Client Content, end-user conversational content, or Protected Health Information to train, fine-tune, or otherwise develop artificial intelligence models.
This restriction does not prevent SRBData from processing information as reasonably necessary to operate, configure, maintain, secure, troubleshoot, evaluate, or improve the particular service or client implementation for which the information was provided.
SRBData may use aggregated or de-identified information for broader operational analysis, service measurement, security, reliability, and business improvement where permitted by applicable law and contract.
Where SRBData represents information as de-identified, SRBData will take reasonable measures designed to prevent the information from being associated with an identified or identifiable individual and will not attempt to reidentify the information except as permitted or required by applicable law.
Protected Health Information is not included in broader aggregated or de-identified uses unless such use is permitted by the applicable Business Associate Agreement and satisfies applicable HIPAA requirements.
SRBData uses third-party technology providers in providing certain services. Those providers may process information in connection with providing their respective services and are subject to their own applicable terms, contractual obligations, and legal requirements. SRBData does not make representations in this Privacy Policy concerning a third party’s independent data practices beyond obligations applicable to SRBData under law or contract.
5. AI-Powered Communications
SRBData provides AI-powered communications technology, including telephone and website-based voice and text interactions.
srbdata.com may include an SRBData AI assistant intended to provide information about SRBData, its services, capabilities, and related business matters using information approved for that purpose.
AI systems may generate inaccurate, incomplete, or inappropriate responses. Information provided by an AI assistant should not be treated as legal, medical, financial, or other professional advice.
SRBData may also display prerecorded or simulated demonstrations illustrating how SRBData technology may be used in particular industries or business scenarios. Demonstrations may use fictional, simulated, or illustrative information and should not be understood as representations concerning a particular client, customer, or business result.
6. Recording, Transcription, and Communication Capture
Depending on the communication channel and system configuration, telephone calls, website voice interactions, chats, and other communications may be transcribed, logged, summarized, analyzed, or recorded where permitted by law.
Not every communications channel uses every one of these functions.
When recording or transcription is enabled, notices and consent mechanisms required by applicable law must be implemented.
For systems operated on behalf of SRBData business clients, the applicable client is responsible for identifying jurisdiction-specific notice and consent requirements applicable to its communications, subject to SRBData’s applicable contractual requirements and system configuration.
Calls or other communications made directly to SRBData may be recorded or transcribed where configured and permitted by law. Where applicable law requires notice or consent, SRBData will provide or obtain the required notice or consent.
Recordings, transcripts, logs, and related communications information are retained according to applicable service configuration, contractual requirements, operational needs, and legal obligations.
7. Text Messaging
When you provide a mobile telephone number directly to SRBData, SRBData may use that number to communicate with you for purposes disclosed when the number is collected and as otherwise permitted by law.
SRBData-branded messaging programs are governed by SRBData’s SMS Terms and the consent disclosure presented at the point of collection.
When SRBData processes messaging on behalf of a business client, the applicable business is the sender or business responsible for that messaging program, and its privacy policy, terms, and consent disclosures may apply.
Message frequency varies. Message and data rates may apply.
You may opt out of SRBData-branded SMS messages as described in the applicable message and SRBData’s SMS Terms.
Consent to receive marketing text messages from SRBData is not a condition of purchasing SRBData services.
SRBData does not sell mobile telephone numbers or SMS opt-in information for third-party marketing purposes.
8. Cookies and Similar Technologies
srbdata.com may use cookies and similar technologies for purposes such as:
providing essential website functionality;
remembering preferences;
maintaining security;
measuring website performance; and
understanding how visitors use the website.
Where required by applicable law, SRBData will provide appropriate choices concerning nonessential cookies or similar technologies.
SRBData may change the technologies used on srbdata.com as the website evolves. This Privacy Policy may be updated when those changes materially affect our privacy practices.
9. Analytics and Website Measurement
SRBData may use privacy-appropriate website analytics or measurement technologies to understand website usage and improve the website and our services.
Where analytics technologies require consent or an opt-out under applicable law, SRBData will provide the mechanism required by applicable law.
SRBData does not intentionally use srbdata.com for cross-site behavioral advertising at launch. If SRBData later introduces advertising or remarketing technologies that materially change how personal information is processed, SRBData will update its disclosures and provide applicable privacy choices before or when required by law.
10. How We Disclose Information
We may disclose information in the following circumstances.
SRBData Business Clients
If you interact with a system that SRBData operates for a business client, information from that interaction may be provided to the applicable business client.
For example, if you use an SRBData-powered system to contact a business, information you provide may be transmitted to that business so it can respond to your inquiry, provide service, or perform the requested business function.
The client’s subsequent use of that information is governed by its own privacy practices and applicable law.
Service Providers and Subprocessors
We may disclose information to companies that help us provide services, such as communications, hosting, software, infrastructure, AI, security, analytics, payment, and professional-service providers.
Professional Advisors
We may disclose information to attorneys, accountants, auditors, insurers, consultants, and other professional advisors where reasonably necessary.
Legal, Security, and Safety Purposes
We may disclose information when reasonably necessary to:
comply with law or legal process;
respond to lawful government requests;
protect rights, property, or safety;
investigate fraud, abuse, or security incidents; or
establish, exercise, or defend legal claims.
Business Transactions
Information may be disclosed in connection with a merger, acquisition, financing, reorganization, sale of assets, or similar corporate transaction, subject to applicable law.

11. Sale, Sharing, and Targeted Advertising
SRBData does not sell Client Content, end-user conversational content, mobile telephone numbers, or SMS consent information for monetary consideration.
SRBData does not authorize service providers receiving SMS opt-in or consent information on SRBData’s behalf to use that information for their own independent marketing purposes.
Certain analytics, advertising, or similar technologies can constitute a “sale,” “sharing,” or use for “targeted advertising” under some privacy laws even when no money changes hands.
If SRBData engages in processing that is legally treated in this manner, SRBData will provide the disclosures and privacy choices required by applicable law.
12. Healthcare Information and HIPAA
SRBData may provide appropriately configured services to healthcare organizations that are subject to the Health Insurance Portability and Accountability Act (“HIPAA”).
Where required, those services are provided under a separate Business Associate Agreement (“BAA”).
SRBData does not use Protected Health Information (“PHI”) to train, fine-tune, or otherwise develop artificial intelligence models.
PHI may be processed to provide an authorized client service as permitted by the applicable BAA and applicable law.
Broader aggregated or de-identified use involving PHI will occur only where permitted by the applicable BAA and where applicable HIPAA de-identification requirements are satisfied.
Where SRBData provides services involving PHI under a BAA, SRBData will obtain the subcontractor agreements required by HIPAA before a subprocessor creates, receives, maintains, or transmits PHI on SRBData’s behalf.
This Privacy Policy is not a HIPAA Notice of Privacy Practices and does not replace a healthcare provider’s own Notice of Privacy Practices.
Unless specifically instructed through an appropriately configured service, do not submit medical information or PHI through SRBData’s general corporate website, general contact forms, or general-purpose SRBData AI assistant.
13. Voice and Biometric Information
SRBData’s standard voice services are intended for conversational communications and are not offered for biometric identification or authentication unless expressly agreed and appropriately configured.
SRBData does not intentionally enable biometric voice identification or authentication as part of its standard services.
Any biometric functionality offered in the future would be subject to applicable notices, consents, retention requirements, contractual safeguards, and legal requirements.
14. Sensitive Information
Some services may involve information treated as sensitive under applicable law.
SRBData processes sensitive information only as reasonably necessary for authorized purposes and subject to applicable contractual, security, and legal requirements.
Do not provide sensitive personal information through srbdata.com unless it is specifically requested through an appropriate SRBData process.
15. Information Security
SRBData uses administrative, technical, and organizational safeguards designed to protect information against unauthorized access, use, alteration, loss, or disclosure.
No system is completely secure, and SRBData cannot guarantee absolute security.
Where applicable law requires notification concerning a qualifying data breach or security incident, SRBData will provide notifications as required by applicable law.
16. Data Retention
SRBData retains information for periods reasonably necessary to:
provide services;
fulfill the purpose for which the information was collected;
maintain business and transaction records;
comply with contractual requirements;
resolve disputes;
maintain security;
enforce agreements; and
comply with legal obligations.
Retention periods may vary according to the type of information, applicable client configuration, contractual requirements, and legal obligations.
17. Children’s Privacy
srbdata.com is intended for business and adult audiences and is not directed to children.
You must be at least 18 years old to use srbdata.com for purposes requiring submission of personal information.
SRBData does not knowingly collect personal information from children under 13 through its corporate website.
18. Privacy Rights
Depending on your location and applicable law, you may have rights concerning your personal information, which may include rights to:
request access;
request correction;
request deletion;
obtain a copy of certain information;
opt out of certain processing;
withdraw consent where processing is based on consent;
limit certain uses of sensitive information; and
appeal certain privacy-request decisions.
These rights are subject to applicable exceptions and legal requirements.
If SRBData processes information solely on behalf of a business client, SRBData may direct your request to that client or assist the client as required by applicable law or contract.

Where applicable law requires SRBData to recognize a legally valid universal opt-out mechanism and that requirement applies to the processing at issue, SRBData will process legally valid signals as required by applicable law.
SRBData does not represent that every browser-based privacy signal applies to every type of processing or service.
21. United States Services
SRBData is based in the United States, and srbdata.com and SRBData’s standard services are offered for use in the United States unless otherwise expressly agreed in writing.
SRBData’s corporate website is not specifically directed to residents of the European Economic Area, United Kingdom, or other jurisdictions requiring services or compliance measures not expressly offered by SRBData.
22. Third-Party Websites and Services
srbdata.com may contain links to third-party websites or services.
SRBData is not responsible for the privacy, security, or content practices of third parties. You should review the privacy policies of third-party services before providing information to them.
23. Changes to This Privacy Policy
SRBData may update this Privacy Policy from time to time.
